Understanding Our Application Process

Returning Vendor Confirmation:

An invitation email will be sent out to vendors who attended last year’s festival on April 1st. Confirmations for returning vendors are due to SAJF by April 30th. Invoicing for returning vendors will start happening in May.

New Vendor Application Deadline:

All New Vendor applications must be submitted by June 30th 2025. This is not a first-come, first-served process, so please take your time to submit your best application by the deadline!

Vendor Notifications:

During the first week of July 2026, we’ll notify all new applicants of their status. If you are selected, we’ll let you know at this time!

Invoices Sent:

If you are selected as a new vendor, invoices for payment will be sent out during the second week of July 2026, following notification.

Terms & Conditions

By confirming your registration and securing your space at the Selby Ave JazzFest, you formally acknowledge and agree to adhere to the vendor terms, conditions, and operational guidelines outlined below. These policies are designed to ensure a safe, successful, and seamless experience for all participants, vendors, and festival attendees.

  • Vendors must submit a completed application along with the necessary permits.
  • New vendor applications will be reviewed and vetted by the event organizers. Only selected vendors will be notified to proceed with payment.
  • Once a vendor is selected, they will receive a confirmation email with payment instructions.
  • Payment must be completed within 15 days of receiving the approval notice to secure your spot. Failure to pay within this timeframe may result in forfeiture of your space.
  • All payments are non-refundable unless the event is canceled by the organizers
  • Vendor spaces are assigned at the event committee’s discretion. While we will do our best to accommodate preferences, location requests are not guaranteed.
  • Vendors are responsible for their own setup, teardown, and booth maintenance. No early departures are allowed. Average clean-up starts at 7:30 pm. 
  • Vendors must maintain professional behavior throughout the event. Any inappropriate conduct may result in removal from the event and exclusion from future events.
  • Vendors (Non-Food Trucks) MUST provide a pop-up style tent with weights to hold it down (no stakes; booths are on the street), tables, and chairs.
    • Tent fabric must be certified as flame-retardant ((NFPA701) with a permanently attached label.
  • Food Truck Only Vendors: Can ONLY Operate out of an Actual truck – no tents will be allowed.
    • Minnesota food truck vendors must obtain a Mobile Food Unit (MFU) license from the Minnesota Department of Health (MDH) or Department of Agriculture (MDA), pass inspections, and secure local city/county permits. Key requirements include NSF-approved equipment, a compliant potable water/wastewater system, a commissary agreement, and adherence to the MN Food Code.
  • Electricity access is not available for vendors. Vendors must plan to operate without electricity and bring all necessary equipment and materials for their booth.
  • Food trucks are required to provide proof of liability insurance with a minimum coverage of $1 million for general liability and $2 million for product liability.
  • Vendors (other than food vendors) are not required to provide insurance.
  • The Selby Avenue Jazz Fest, Walker West Music Academy, event organizers, and affiliated parties are not responsible for any loss, damage, theft, or injury occurring at the event. Vendors participate at their own risk. Vendors are responsible for securing their personal property during the event. The organizers will not be held liable for any lost, damaged, or stolen items.
  • Vendors selling food or beverages must comply with all city, county, and state health regulations and obtain any necessary permits.
  • All vendors must adhere to festival rules and local ordinances.
  • Vendors may not sublease or transfer their booth space to another party without prior written approval from the event organizers.
  • If a vendor is unable to attend, they must notify the organizers at least 15 days before the event. No-shows or cancellations within 15 days of the event will result in the vendor forfeiting their payment and may impact eligibility for future participation.
  • The sale of alcohol, tobacco, firearms, or illegal substances is strictly prohibited.
  • Vendors may not play loud music, use open flames, or engage in disruptive behavior that interferes with other vendors or festival operations
  • Vendors grant the Selby Avenue Jazz Fest permission to use their business name, logo, and photos taken during the event for promotional purposes.
  • Vendors must keep their area clean and remove all trash at the end of the event. Failure to do so may result in a cleaning fee or impact future participation.
  • A clean and organized space not only creates a better experience for everyone but also helps protect the street, minimizing cleanup at the end of the festival.
  • Grease Disposal Policy: All vendors are required to contain and properly dispose of any grease-related items and containers on their own premises. Selby Avenue JazzFest (SAJF) does not provide grease container removal. Vendors must ensure that no grease or grease-related waste is discarded on festival grounds, in festival-provided trash bins, or left behind after the event. Failure to comply with this policy may result in fines, removal from the event, and/or disqualification from participating in future festivals.

  • As it has been for 22 years, the Selby Avenue JazzFest is a rain or shine event. No refunds will be given due to weather or acts of God. Please plan accordingly.
  • Vendors must comply with any local, state, or federal health mandates in effect at the time of the event. Vendors are responsible for ensuring their staff’s compliance with these regulations, such as mask-wearing or social distancing, if required.
  • Vendor agrees to assume responsibility for any items, equipment, and materials brought to the Selby Avenue JazzFest Area and for the actions of its agents and delegates attending in their professional capacities. In the event of a legitimate claim of damages by Selby Avenue JazzFest, or an affiliated party, Vendor agrees to pay as ordered by a court of competent jurisdiction to the extent allowed by Minnesota Statutes § 3.736.
  • The festival organizers are not liable for event cancellation, delay, or changes due to unforeseen circumstances including, but not limited to, weather, acts of nature, public emergencies, pandemics, government mandates, or other causes beyond their control.
